When a property manager collects rent on an owner's behalf, the owner needs to see where the money went. A typical monthly owner statement shows the opening balance, rent and other income received, expenses paid (repairs, utilities, management fees), any reserve held back, the owner's distribution, and the closing balance.
Owner statements usually come from the manager's trust (or escrow) accounting, the records of money held for owners and tenants. Many states regulate how property managers hold and account for that money.
Owners use the statements for their own books and at tax time, so they should match the categories owners report on Schedule E.
