3. Final reminder before the deadline
Send: 2–3 business days before the due date
Be clear about what happens next, including an extension if that's your firm's policy — without sounding like a threat.
Subject: Action needed: [TAX YEAR] documents due [DUE DATE]
Hi [CLIENT FIRST NAME],
We still need a few documents to finish your [TAX YEAR] return, and our cutoff to file by [FILING DEADLINE] is [DUE DATE].
Still needed:
[OUTSTANDING ITEMS]
Upload here: [UPLOAD LINK]
If we don't have everything by [DUE DATE], we'll [FIRM POLICY, e.g. file an extension on your behalf]. An extension gives more time to file, but not more time to pay any tax you owe, so we'd much rather get it done on time.
If something is holding you up, reply to this email or call us at [PHONE] and we'll help.
Thank you,

4. Missing-item follow-up
Send: as soon as you spot a gap during preparation

Subject: One more item for your [TAX YEAR] return
Hi [CLIENT FIRST NAME],
Thanks for the documents you sent. While preparing your return, we noticed we're missing:
[MISSING ITEM]
Why we need it: [REASON, e.g. "Your bank statements show interest from [BANK NAME], so we need the Form 1099-INT they issued."]
Where to find it: [HINT, e.g. "Usually in the Tax Documents section of your online banking."]
Upload it here: [UPLOAD LINK]
If you don't have it or think it doesn't apply, just reply and let us know, and we'll take it from there.
Thanks,

Tips on timing
Start in January. Employers and most payers must send W-2s and many 1099s by January 31, so mid-January requests land just as forms start arriving.
Set your own due date, not the IRS's. A firm cutoff several weeks ahead of the filing deadline (for example, mid-March for April returns) gives you room to prepare and review.
Plan for late forms. Brokerage statements and Schedule K-1s often arrive in February or March, and later for some partnerships. Ask for everything else first.
Space reminders out. One reminder 1–2 weeks before your cutoff and a final one a few days before is usually enough. More than that starts to read as noise.
Always say what's missing. “We still need your 1098” gets a faster response than “please send your remaining documents.”
Use a secure upload method. Tax documents contain Social Security numbers and account numbers; avoid regular email attachments.
These templates are general examples for firms to adapt. Deadlines vary by return type, state and fiscal year, and nothing here is tax or legal advice. Review your firm's engagement terms before promising any filing or extension action.

Let PraxiOStrack what's missing.
In PraxiOS, each document request has a due date and PraxiOS emails your staff when a request is due soon or overdue. Clients open a secure portal link (no password) and see exactly what's still missing, and uploads are recognized and matched to their checklist for your team to confirm.
