What should a rent receipt include?
Enough for anyone to tell, years later, who paid what, for which property and period, and how. New York’s law is a good baseline: it requires the date, the amount, the premises and period paid for, and the signature and title of the person receiving the rent. Add the rest of this list and the receipt will also answer most deposit and balance questions.
- Receipt number, so every receipt can be matched to your records
- Date the payment was received
- Tenant name(s)
- Property address and unit
- Amount received, in figures (and in words for cash)
- Payment method, with the check or money order number
- What it pays for (rent, late fee, utilities) and the period covered
- Balance still owed, if any, or “paid in full”
- Name, title and signature of the person who received it
Keep a security deposit on its own receipt, separate from rent, since it’s refundable and many states regulate how it’s held and returned.
Rent receipt template
Copy it into a document, fill in the brackets, and give the tenant a copy. Keep one for yourself.
How do you write a receipt for a partial payment?
Show the full amount due, the amount received and the balance left, and say plainly that the payment is partial. The template below does that. If you’ve agreed to a payment plan, note when the balance is due.
Which states require landlords to give rent receipts?
Several do, most often for cash. These are the rules we could confirm from the statutes themselves; other states, counties and cities have their own, so this list isn’t complete.
| State | Statute | What it requires |
|---|---|---|
| California | Civil Code § 1499 | A debtor has the right to require a written receipt from the creditor for any property delivered in payment. A tenant can ask for a receipt for rent, whatever the payment method. |
| New York | Real Property Law § 235-e | A written receipt for rent paid in cash or by anything other than the tenant’s personal check, and for personal checks if the tenant asks in writing. It must show the date, amount, premises and period paid for, and the receiver’s signature and title. Give it immediately for in-person payments, or within 15 days for rent paid another way (such as by mail), and keep records of cash receipts for at least three years. |
| Texas | Property Code § 92.011 | A landlord must accept timely cash rent unless a written lease requires another method. For cash rent, the landlord must give a written receipt and enter the date and amount in a record book. A tenant who wins a suit can recover the greater of one month’s rent or $500 for each violation, plus costs and attorney’s fees. |
| Maryland | Real Property § 8-205 and § 8-208.3 | A receipt when the tenant pays in cash or asks for one, and the landlord is liable to the tenant for $25 for failing to give one. In Anne Arundel County, a receipt showing the payment and the period it covers is required unless the tenant pays by check. Every landlord must keep records of rent dates and amounts that show a receipt was given for each cash payment. |
New York’s law has a related rule: if rent isn’t received within five days of the due date, the landlord must send the tenant a written notice of nonpayment by certified mail, and failing to do so can be raised as a defense in a nonpayment eviction case.
How long should you keep copies of rent receipts?
At least as long as the law where your property is requires, and as long as you need them for taxes. New York requires records of cash receipts for three years. For federal taxes, the IRS says to keep records that support income or deductions until the period of limitations for that return runs out, which is three years in most cases and longer in some. Rent you receive is income you report, usually on Schedule E.
- Use numbered receipts. A carbonless duplicate receipt book or a numbered digital file means every receipt has a copy and gaps are easy to spot.
- File them by property, tenant and year, with the lease and the tenant’s ledger.
- Scan paper receipts so a lost book doesn’t mean a lost record.
- Give every receipt the same way, paper or email, so a tenant can never say they didn’t get one.
Can rent receipts be sent automatically?
Yes. Online rent collection software emails a receipt for each payment, so you only write receipts by hand for cash or checks. Both of these are made by DomoDomu:
- PropPay emails receipts to both landlord and tenant when a payment goes through, or if it fails. It’s free for landlords: each payment carries a service fee of 0.5% + $1, at most $10, which the tenant pays by default. Cash, check or Zelle payments can be marked paid so reminders stop. See PropPay pricing.
- LandlordOS emails the tenant a receipt when an online payment is submitted, and keeps every payment, online or recorded by hand, on the lease ledger. Plans start at $10 a month.

Rent receipt questions
Do landlords have to give rent receipts?+
In some states, yes. New York requires a receipt for rent paid in cash or by anything other than a personal check, Texas requires one for cash rent, Maryland requires one for cash or on request, and California gives anyone paying a debt the right to require a written receipt. Other states and cities have their own rules.
Is a bank or app payment record enough instead of a receipt?+
For electronic payments it often serves as proof of payment, but it may not show the period covered or the remaining balance. Where a statute requires a receipt, such as for cash in New York or Texas, give a written receipt. Many landlords give one for every payment so records are consistent.
Can a rent receipt be sent by email?+
Often, yes, and online rent software sends one automatically. Check your state’s law if it sets a form, a signature or a delivery method, and keep a copy of what you sent.
Should I give a receipt for a partial rent payment?+
Yes. Show the full amount due, the amount received and the balance remaining, and mark it as a partial payment. In some states, accepting partial rent after an eviction notice can affect the case, so check your state’s rules first.
How long should landlords keep rent receipts?+
New York requires landlords to keep records of cash rent receipts for three years. For federal taxes, the IRS says to keep records until the period of limitations for the return expires, which is generally three years and longer in some cases.
