PraxiOS

Where PraxiOS is stronger

  • Flat per-firm pricing: up to 5 users for $299/mo, up to 15 for $699/mo. Adding a person inside your plan doesn't change the bill.
  • Every feature is on every plan, with unlimited clients. There's no feature tier to upgrade into.
  • Clients don't create an account. You send a link that expires in 1–30 days, can be single-use, and can be rotated or revoked.
  • Uploads are read with OCR, classified by document type and linked to the matching checklist item automatically, so staff spend less time sorting files.
  • Per-client checklists appear in the client's portal next to outstanding document requests.
Karbon

Where Karbon is stronger

  • Email is part of the workflow: integrated email and email triage. PraxiOS has no inbox integration.
  • A broad integration list, including QuickBooks Online Accountant, Xero and Microsoft 365, plus an API. PraxiOS has neither.
  • E-signatures and engagements (proposals and engagement letters). PraxiOS has neither.
  • Billing and payments built in, where PraxiOS records payments but doesn't process them.
  • Native iOS and Android apps, configurable workflow statuses, and tiered help with data import.
  • For very small teams, per-user pricing can cost less than a flat firm price.

Who should choose which

You want simple, flat pricing and faster document collection.

You're a 1–50 person firm whose main pain is chasing and sorting client documents, you don't need e-signatures or integrations today, and you'd rather pay one predictable price for every feature.

Choose Karbon if

Your work runs through email and connected tools.

You want inbox triage inside your workflow, need QuickBooks, Xero or Microsoft 365 integrations or an API, rely on e-signatures and engagement letters, or want native mobile apps.

PraxiOS prices are per firm, so a 3-person firm on Starter pays the same as a 5-person one. At 3 users, Karbon Team paid annually (3 × $59 × 12 = $2,124/yr) costs less than PraxiOS Starter. The prices compare plans, not identical feature sets — see the table above.

FAQ

Common questions

Can I move from Karbon to PraxiOS?+

Yes. PraxiOS imports your client list from a Karbon CSV export, with the column mapping built in, and work in progress is set up by hand. The Enterprise plan includes help importing your client list, and the Professional plan includes a live onboarding session. On Starter, setup is self-serve with email support.

Does PraxiOS connect to my email like Karbon does?+

No. PraxiOS sends reminder emails to your staff in the background, but it doesn't connect to your team's inbox. If email triage is central to how you work, Karbon covers that and PraxiOS doesn't.

Does PraxiOS have e-signatures or integrations?+

Not today. PraxiOS has no e-signatures, no QuickBooks or other integrations, and no public API. A public API is on our roadmap but isn't available yet.

Do my clients need a login?+

No. Each client gets a secure link that you set to expire in 1 to 30 days, optionally single-use. You can rotate or revoke it from the client's page at any time.
